More customer benefit, less effort

Success creates new challenges. That is why Messe Friedrichshafen decided to simplify its organisation handling.

After a very successful financial year 2003/2004, the managers at Messe Friedrichshafen realised that improving services would be one of the big challenges facing themTo continue to cope with this dynamic growth in the future, far-reaching solutions were required. The organisation handling had to be made simple and future-proof.
An event with strong growth was chosen as the pilot project for this: the 30th HAM Radio/HAMtronic (24 to 26 June). After about two month's preparation and a suitable warm-up phase, the Rubin software from a Berlin company was first used in March 2005 to help organise the international amateur radio exhibition. After transfer of the address and management data into the new system, the exhibitor documentation was shipped out. The software coordinated the booking of all services offered by the trade fair. Stand allocation started at the beginning of April. It was entered and displayed using Rubin's "graphics" module, one of a total of ten modules. After definition of the stand requests such as size, corner or end stand, the data were graphically visualised hall by hall. Implementation of the software was accompanied by an analysis of the organisation processes - with the aim both of allowing greater focus on working for customers by minimising time-consuming routine tasks and of presenting a single face to exhibitors and organisers.
Using an integrated software platform like Rubin helps achieve these goals, with such elements as defined workflow processes, standard forms with a modern layout and clear stand and hall floorplans. "We decided on infoteam because we needed a professional solution", says Sven Rostin, head of IT at Messe Friedrichshafen. Previously, the project teams had worked with a proprietary solution that had grown up over the years - and often proved unstable when interacting with the various databases.
The trade fair software permits hassle-free control of marketing and sales, event schedules, internal technical communications, trade fair organisation, stand allocation, and trade fair service logistics. Previously it had been difficult for project leaders to get an overarching view of the customers across projects, and knowledge about the wishes of the exhibitors, status of a contract, and incomplete project tasks had mainly been in the heads of the staff involved.
Rubin, the specialist software for event, trade fair and conference management, is based on the workflow of the day-to-day business. As it is modular and standardised, it can be tailored to the individual requirements of its users. For Messe Friedrichshafen, this has several advantages. For one, it improves account management, links individual processes intelligently and makes work processes transparent. That results in a complete record of all activities performed, a clear general view, fast response times and more efficient working. Customers are also served considerably better. Wolf-Dietrich Groß
